1. Scope and roles
This policy applies to Side by Sides K9 services and to people who visit our website, manage a kennel account, use an authorized staff account, or access a kennel's client portal.
When a kennel or training business uses Side by Sides K9 to manage its own clients, dogs, reservations, training, and communications, that business controls those records and Side by Sides K9 processes them to provide the service. Questions about a specific kennel's records should generally be directed to that kennel first.
2. Information we collect
- Account and business information: name, email address, organization, role, login information, service configuration, and support requests.
- Client and dog records: pet-parent contact information, dog profiles, care instructions, reservation requests, forms, kennel assignments, training records, notes, and related operational details.
- Photos and videos: media uploaded by authorized kennel staff or otherwise provided through the service.
- Communications: messages, email and SMS delivery details, notification preferences, and records needed to deliver or troubleshoot communications.
- Technical information: device, browser, app version, log, security, diagnostic, and usage information needed to operate and protect the service.
- Website analytics: Google Analytics may receive limited, cookie-free measurement signals while analytics storage is denied. If you accept analytics cookies, it may also collect page views, referring pages, interactions, general location, and device or browser information. We configure analytics without advertising personalization.
Side by Sides K9 does not currently process card payments within the platform. If payment features are introduced, this policy will be updated to describe the information and providers involved.
3. How we use information
- Provide, secure, maintain, and improve the platform.
- Authenticate users and enforce organization, staff, and client permissions.
- Sync authorized information across supported mobile, desktop, and portal experiences.
- Manage reservations, care records, training progress, media, forms, and communications.
- Respond to support requests, prevent misuse, and meet legal obligations.
4. How information is shared
We share information only as needed to operate the service, including with the kennel or organization that manages the account; authorized staff and clients based on their permissions; and vendors that provide cloud hosting, storage, authentication, communications, security, and support services.
Google receives limited website measurement information as our analytics provider. When analytics storage is denied, the Google tag uses cookie-free measurement and does not set or read Analytics cookies. If you accept analytics cookies, Google Analytics provides fuller website usage reporting. Google processes information under its own terms and privacy policy. We do not use Google Analytics for third-party advertising or to sell personal information.
We may also disclose information when required by law, to protect rights and safety, or as part of a merger, financing, acquisition, or sale of business assets. Service providers may use information only to perform services for us under appropriate obligations.
5. Retention and deletion
We keep information for as long as an account is active, as needed to provide the service, resolve disputes, maintain security, and meet legal obligations. Retention may also depend on the settings and lawful instructions of the kennel that controls the records. Deleted information may remain temporarily in protected backups until those backups are cycled.
Account owners may request access, correction, export, or deletion by emailing support@sidebysidesk9.com. Staff members and pet parents should contact their kennel administrator first for records controlled by that kennel.
6. Security
We use administrative, technical, and organizational safeguards designed to protect information. No internet service can guarantee absolute security, so account owners and users must protect credentials, use authorized devices, and promptly report suspected misuse.
7. Your privacy choices
Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of personal information, or to appeal a privacy-request decision. We may need to verify your identity and authority before acting. We do not discriminate against people for exercising applicable privacy rights.
You may control optional communications through available settings or by following the instructions in a message. Operational messages needed for security or service delivery may still be sent.
Analytics cookies are off until you select Accept analytics. If you decline, the Google tag may send limited cookie-free measurement signals but does not set or read Analytics cookies. You can change your choice at any time using the Privacy Choices button shown on the website. Declining analytics cookies does not affect access to the site.
8. Children
Side by Sides K9 is a business service and is not directed to children under 13. Children should not create accounts or submit personal information through the service.
9. Changes and contact
We may update this policy as the platform changes. We will post the revised policy here and update its effective date. Material changes may also be communicated through the service when appropriate.
